Microsoft Online Teaching Allocation (OTA) Tool (2022 – 2023)
The project scope involves implementing the OTA tool (PowerApps) to integrate curriculum, timetabling, and staffing information into a unified work planning and allocation platform. This initiative includes enhancing reporting capabilities within the OTA portal to support accurate staff payment compliance with Enterprise Agreement and University regulations.

Business Problem
- Lack of a centralized system for viewing all staff schedules and allocations, leading to inefficiencies and difficulties in coordinating team activities.
- Time-consuming process of allocating schedules to staff due to reliance on multiple applications, causing delays and potential errors in scheduling management.
- Reduced visibility and coordination across teams, impacting productivity and resource utilization, and potentially affecting customer service levels due to scheduling inconsistencies.
Value Delivered
- Centralises and integrates academic staff allocations, providing users with a comprehensive view of timetabled classes, enrolments, and additional activities in a user-friendly online platform. This streamlines operations, enhances transparency, and improves decision-making regarding resource allocation.
- Optimizes the allocation process for casual academic staff, ensuring accurate record-keeping and timely payments. By consolidating these tasks within a unified system, it reduces administrative burden and minimizes the risk of errors or delays in payroll processing.
- Promotes compliant and consistent practices in work allocation, schedule management, and payment processes for casual academic staff, aligning with regulatory requirements and university policies. This fosters a reliable and fair environment for staff engagement while maintaining organizational integrity and adherence to enterprise agreements.
